La Roche University welcomes candidates to apply for the position of Executive Administrative Assistant for the Divison of Mission and Ministry. The ideal canidate provides high-level administrative and clerical support to the Vice President for Mission and Ministry and the broader Division as a whole, which includes Mission Integration, the Ketteler Center for Peace, Justice and Inclusion, Providence Campus Ministry, and the Introcaso Center for Lifelong Learning. This position requires exceptional organizational skills, sound judgment, and discretion in handling confidential matters, along with the professionalism to represent the Vice President and the University positively across the campus community on a part-time basis. The Executive Administrative Assistant plays an integral role in supporting the mission of La Roche University and the charism of the Sisters of Divine Providence.

GENERAL DUTIES:
- Assists in organizing and executing special events, conferences, and prayer services, such as the Mass of the Holy Spirit, the Marie De La Roche Tea, the Founder’s Day Picnic, Bishop Ketteler Day, and other events as needed.
- Coordinates meeting schedules, appointments, and writing time for the Vice President, and provides general clerical support.
- Creates, edits, and proofreads memos, reports, presentations, and other Mission and Ministry related documents aligned with the University’s standards.
- Demonstrates exceptional interpersonal skills and the ability to work collaboratively with diverse populations.
- Manages the Mission and Ministry Office in the Vice President’s absence to guarantee the continuous flow of daily functions.
- Manages the calendar for the Vice President.
- Performs office management duties for the Vice President for Mission and Ministry, as well as supporting the Ketteler Center for Peace, Justice, and Inclusion, Providence Campus Ministry, and the Introcaso Center for Lifelong Learning.
- Works on an occasional weekend or weeknight as needed.
- Performs other duties as requested
- Duties performed on a part-time basis, up to 20 hours a week
PREFERRED QUALIFICATIONS:
- Bachelor's degree preferred
- Minimum of 3-5 years related administrative experience, preferably in a higher education environment
- Willingness to learn the culture and mission of La Roche University to ensure the Division of Mission and Ministry functions both efficiently and with integrity.
- Excellent verbal and written communication skills with strong interpersonal skills to interact effectively with diverse groups.
- Strong organizational and multitasking abilities with excellent time management skills and the ability to prioritize tasks.
- Proven ability to handle confidential information with discretion and a high level of professionalism to represent the Vice President and the University positively.
- Service-oriented with strong problem-solving skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Ability to use generative AI, such as ChatGPT and other formats, to promote operational efficiency.
- Demonstrated problem-solving skills with the ability to anticipate needs and adapt to changing priorities.
- High attention to detail and accuracy.
PHYSICAL REQUIREMENTS:
This position requires stationary work in an office environment, walking short distances on campus, and the ability to perform fine manipulation such as typing. It is generally expected that this position will require lifting not to exceed 50 pounds.
